Affiliate Program Terms & Conditions

The short version (plain English)

You share CanvasCamp with your audience using your personal link or coupon code. Your audience gets a discount, and you earn a commission on every order you refer. The exact rate, discount, and tracking window depend on which program you join; the current one, The Pitch Crew, is set out at the end of these terms. We review every application by hand, hold new commissions for 30 days, and pay out from EUR 250 on the 12th of the month, in cash or as store credit with a bonus. If you leave, or we wind a program down, the money you have honestly earned is still yours, even below EUR 250. Play fair, and we will get along great. The section below is the formal version of the same deal, plus the legal detail that protects both of us.

The full terms

1. Who these terms are between

These terms are an agreement between you (the "Affiliate") and CanvasCamp bv, a company registered in Belgium under enterprise number 0822.182.688 (VAT BE 0822.182.688), with its registered office at Legen Heirweg 23E, 9890 Gavere, Belgium ("CanvasCamp", "we", "us"). By applying to the affiliate program you accept these terms. If you do not accept them, do not apply.

You take part either as a consumer (a private individual acting outside any trade, business, or profession) or as a business. Where any term of this agreement would remove or reduce a mandatory legal protection you have as a consumer, that protection still applies and overrides these terms.

2. Words we use

  • Program: a specific CanvasCamp affiliate program you have joined, such as The Pitch Crew. We may run more than one program at a time, each with its own Program Details.
  • Program Details: the specifics of a program, including its commission rate, the discount for your audience, the tracking window, any store-credit bonus, and the stores it covers. They are shown to you when you apply and in your affiliate dashboard, and the details for each current program are set out at the end of these terms. Program Details form part of these terms.
  • Order value: the VAT-exclusive price the customer actually paid for the products in an eligible order, not including shipping. This is the amount your commission is calculated on, so if your discount code was used, the commission is on that reduced price.
  • Completed order: an order that has shipped and been marked complete, and has passed the 30-day hold without cancellation, return, refund, or chargeback.
  • Eligible order: an order placed on a CanvasCamp store that takes part in your program (see section 4 and your Program Details), attributed to you and not excluded under these terms.
  • Balance: the total of your commissions that have cleared the 30-day hold, less any that have been reversed. This is what counts toward the payout minimum set out in your Program Details.
  • Referral link and coupon code: the personal tracking link and personal discount code we issue to you when you are accepted.

3. Joining the program

  • Anyone with a CanvasCamp customer account can apply. Applying is free.
  • You must be at least 18 years old and legally able to enter into a contract. If you apply on behalf of a business, you confirm you are authorised to accept these terms for that business.
  • We review every application and may accept or decline it, acting reasonably and in good faith. You will hear from us by email.
  • One affiliate account per person or business. Accounts may not be shared, sold, or transferred. You may not operate more than one account, or coordinate with other accounts, to inflate commissions.
  • Businesses (campsites, glamping operators, agencies and similar) are welcome.
  • You must give accurate information and keep it up to date.

4. How commissions are earned

  • You earn the commission rate shown in your Program Details on the order value of every eligible completed order you refer. Order value is the VAT-exclusive price the customer actually paid for the products, not including shipping. If your discount code was used, your commission is on that reduced price.
  • An order is attributed to you in one of two ways: (a) the customer uses your personal coupon code at checkout, which always attributes the order to you as the code owner, whether or not a cookie is set; or (b) with no affiliate coupon on the order, the customer clicked your referral link and ordered within the tracking window shown in your Program Details. If several affiliate links were clicked, the most recent click before the order wins. A coupon code used at checkout always takes priority over link tracking. So if a customer clicks one affiliate's link and uses a different affiliate's code on the same order, the code owner is credited.
  • Your audience receives the discount shown in your Program Details, using your coupon code.
  • An order is eligible only when it is placed on a CanvasCamp store that takes part in your program, as listed in your Program Details. Orders placed on stores outside the program do not earn commission. We may add or remove stores on notice.
  • Commission is earned on qualifying products only. Some products and ranges do not qualify, including but not limited to stretch tents, sailcloth tents, and accessories. We decide which products qualify, acting reasonably and in good faith, and may update the qualifying ranges on notice.
  • Commissions are not earned on your own purchases, purchases made on your behalf, or orders placed by people or businesses connected to you (household members, your own company, or anyone acting with you to trigger a commission).
  • If an order is cancelled, refunded, returned, or charged back, the related commission is reversed.

5. Our discretion over commissions

  • We may review, hold, reduce, decline, or reverse any commission where, acting reasonably and in good faith, we have objective grounds to do so, including where we reasonably suspect fraud, abuse, manipulation, error, a chargeback, a returned order, or a breach of these terms.
  • We may verify the traffic, orders, and methods behind your commissions, and may ask you for reasonable information to do so.
  • If we hold, reduce, decline, or reverse a commission, we will give you the reason on request and a fair chance to respond, unless the law prevents us, and you may ask us to review the decision. This does not affect any right you have to bring a claim, and if you take part as a consumer it does not affect your mandatory legal rights.
  • We may also decline, hold, or reverse a commission, or end your participation, where paying you would break the law, for example trade-sanctions or anti-money-laundering rules.

6. Payment

  • The payment terms in this section are our standard terms and apply to every program, unless a program's Program Details say otherwise.
  • New commissions are held for 30 days after we have shipped the order and marked it complete. This covers our money-back window. A commission only becomes payable once the hold has passed and the order still stands.
  • Commissions are recorded, totalled, and paid in euro (EUR). If you refer an order on a store that sells in another currency, we convert the order value into euro using the exchange rate our store applied to that order when it completes. The payout minimum, your balance, and every payout are always calculated and paid in euro. Small rounding differences from currency conversion, we absorb.
  • Once your balance reaches the payout minimum, you may request a payout in your affiliate dashboard.
  • Payout requests are processed monthly (currently the 12th).
  • We pay commissions by bank transfer, or as CanvasCamp store credit where your program offers it. The available payout methods, and any store-credit bonus, are set out in your Program Details and may change.
  • Cash payouts are made by bank transfer. We pay out your full balance; any banking costs, fees, or charges arising from the transfer are yours to bear.
  • We decide, at our discretion, the method and the source from which commissions are paid, and we may appoint a third party to process and pay out commissions on our behalf. We may change the payout method, provider, minimum threshold, and schedule at any time, on reasonable notice, acting reasonably and in good faith. Whoever pays, the amount owed to you does not change.
  • If a commission is reversed after it has already been paid to you (for example a later chargeback or return), we may recover it by setting it off against your current or future balance. If your balance does not cover it, you agree to repay the amount within 30 days of our written request.
  • You are responsible for any taxes, social contributions, or VAT due on your affiliate earnings in your own country. If you take part as a business, we may ask you for an invoice for your commissions before we pay.

7. How you may promote us

Promote us where people already choose to hear from you: your website, blog, channel, social media, newsletter, or in person. You may not:

  • post your coupon code on coupon, voucher, or deal-aggregator sites;
  • run search or display ads on the CanvasCamp brand name, common misspellings of it, or the brand name combined with another word (for example "canvascamp discount" or "canvascamp code"), or use our brand in ad copy, display URLs, social handles, or app names in a way that looks official;
  • stuff, force, or inject our tracking cookie, or set it without a genuine click the customer chose to make (no cookie-stuffing, hidden iframes, pop-unders, or automatic redirects); use browser extensions, toolbars, or coupon-injection tools that add your link or code at checkout on orders you did not genuinely refer; or generate clicks or traffic the customer did not choose (no adware, no bots, no incentivised clicks);
  • send spam: no unsolicited mass email, comment spam, or fake accounts;
  • make misleading claims about our products, prices, or promotions;
  • place orders through your own link or code (self-referral);
  • present yourself as CanvasCamp, or imply you speak for us;
  • promote us on, or from, any site or channel that contains or targets illegal content, hate or discrimination, adult or sexual content, violence, or content aimed at children under 16, or that would damage our reputation.

You must clearly and prominently tell your audience, in the same place and language as your promotion, that you may earn a commission if they buy through your link or code. Under EU law, including the Unfair Commercial Practices Directive 2005/29/EC and national advertising rules, undisclosed affiliate promotion is prohibited. Making this disclosure is your responsibility and you are liable for any failure to do so.

8. Use of our brand

While your account is active and not in breach of these terms, we grant you a limited, non-exclusive, revocable licence to use the CanvasCamp name and logo solely to promote us under these terms. You must follow any brand guidelines we give you and use only the logo, images, and creative we provide or approve. You gain no other rights in our brand, and you may not alter our logo, register similar names or domains, or use our brand in any way that suggests you are us. All goodwill arising from your use of our brand belongs to us. This licence ends when your participation ends.

9. You are an independent partner

You take part as an independent contractor. Nothing here creates an employment, agency, partnership, or joint-venture relationship. You have no authority to bind CanvasCamp, to make commitments on our behalf, or to speak for us. You are responsible for your own costs, staff, and obligations.

10. Term, termination, and what survives

  • Either of us may end your participation at any time, for any reason, on written notice (email is fine).
  • If you join as a consumer, you may leave the program within 14 days of being accepted, and at any time after, at no cost and with no penalty. Any commissions you have properly earned up to then are still paid under section 6.
  • We may suspend or close an account immediately for a breach of these terms or suspected fraud or abuse. In that case, commissions connected to the breach may be withheld or reversed and are forfeited.
  • If your participation ends without a breach on your side (including if we end the program or close your account), we will pay out any commission you have properly earned, including any balance below the usual payout minimum, on the next normal payout date, to the payout details on your account. Eligible commissions do not expire while your account is open.
  • When your participation ends, you must stop using your referral link, coupon code, and our brand within 5 days and remove them from your channels. Orders placed after your participation ends do not earn commission.
  • Sections that by their nature should continue (including 5, 6, 9, 11, 12, 13, 15, and 16) survive the end of your participation.

11. No guarantees and limited liability

  • The program is provided "as is" and "as available". We do not guarantee any level of earnings, traffic, conversion, uptime, or availability, we do not promise the program will be uninterrupted or error-free, and we may change, pause, or discontinue any program at any time. Taking part is at your own risk and cost.
  • To the fullest extent permitted by law, we are not liable for any indirect, incidental, special, or consequential loss, or for any loss of profit, revenue, expected earnings, commissions you hoped to earn, goodwill, data, business, or opportunity, whether or not we were told it was possible.
  • For any remaining liability that is not excluded above, our total liability to you, for all claims combined arising out of or connected with the program and these terms, is limited in aggregate to EUR 250.
  • Nothing in these terms excludes or limits our liability for fraud, intentional or gross fault, death or personal injury caused by our negligence, or any liability that cannot be excluded or limited under Belgian law. If you take part as a consumer, nothing here limits our liability for failing to perform our obligations to you.

12. Your data

CanvasCamp (Legen Heirweg 23E, 9890 Gavere, Belgium) is the controller of the personal data used to run the program. We process your data to enter into and perform this agreement (Art. 6(1)(b) GDPR), to meet legal obligations such as tax and accounting (Art. 6(1)(c)), and for our legitimate interest in preventing fraud and abuse (Art. 6(1)(f)). You do not need to give separate consent for this processing.

To pay you, we share the data needed with our payout provider (section 6). Where a provider or group company we use is outside the EEA, we use an approved transfer mechanism. We keep affiliate and commission records while your account is active, and afterwards for the period required by Belgian tax and accounting law.

We track referrals with a cookie that lasts 30 days. Our cookie and privacy policies explain this and your rights, including the right to access, correct, or erase your data, and the right to complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données).

13. Confidentiality

Non-public information we share with you to run the program (for example unpublished rates, dashboards, reports, or plans) is confidential. Use it only to promote us under these terms, and do not share it while you take part or for two years after you leave.

14. Changes to these terms

We may change the commission rate, discounts, or these terms. Changes never apply retroactively to commissions you have already earned, and we will give notice by email before they take effect. If you do not accept a change, you may end your participation before it takes effect (see section 10). Continuing in the program after that means you accept the change.

15. Complaints and how we sort things out

If something goes wrong, email affiliates@canvascamp.com first and we will try to sort it out with you directly. If we cannot resolve it and you take part as a consumer, you may contact the Belgian Consumer Mediation Service (Consumentenombudsdienst / Service de médiation pour le consommateur), Boulevard du Roi Albert II 8, 1000 Brussels, consumerombudsman.be. This does not affect your right to go to court under section 16.

16. General

  • Force majeure. Neither of us is responsible for a failure or delay caused by events beyond our reasonable control, for example natural disasters, war, strikes, internet or payment-provider outages, or government action. Payout and other obligations are paused while such an event prevents them and resume as soon as it ends. Nothing you have properly earned is lost because of a delay of this kind.
  • How we contact each other. We contact you at the email address on your affiliate account, so please keep it current. An email is treated as received the day after we send it. You reach us at affiliates@canvascamp.com. Formal legal notices to CanvasCamp may also be sent by post to Legen Heirweg 23E, 9890 Gavere, Belgium.
  • Governing law and courts. These terms are governed by Belgian law. If you take part as a business, any dispute will be brought exclusively before the competent courts of Ghent (Gent), Belgium. If you take part as a consumer, nothing in these terms removes the protection of the mandatory law of the country where you live. You may bring proceedings before the Belgian courts or the courts of your own country, and we will bring any claim against you only before the courts of the country where you live.
  • Precedence of the Dutch text. We publish these terms in several languages across our stores. In the event of any ambiguity or conflict about the interpretation of these terms, the Dutch text is always decisive.
  • No waiver. If we do not enforce a term straight away, that is not a waiver, and we can still enforce it later.
  • Severability. If any part of these terms is found invalid, the rest still applies.
  • Assignment. We may assign or transfer these terms (for example to a group company or a payout provider); you may not, without our written consent.
  • Entire agreement. These terms, together with the Program Details for each program you join, are the entire agreement between us about that program and replace anything said before.

Program details: The Pitch Crew

These are the Program Details for The Pitch Crew, our current affiliate program. They form part of the CanvasCamp Affiliate Program Terms above. Where these details set a value, they fill in the matching term in the master terms; on anything they do not mention, the master terms apply.

  • Program name: The Pitch Crew
  • Who it is for: tent owners, outdoor creators, campsites, and glamping professionals
  • Commission rate: 8% of order value (order value is defined in section 2: the VAT-exclusive price the customer paid for the products, shipping not included)
  • Your audience's discount: 5% off, with your personal coupon code
  • Tracking window: 30 days, last click. Orders that use your coupon code always count, cookie or not
  • Store-credit bonus: 20% on top if you take your payout as CanvasCamp store credit
  • Stores in the program: International (English, German, Dutch, French), Italian, Romanian, and Greek. Not included: our US, Canadian, Spanish, Swedish, Norwegian, Japanese, and Australian stores.
  • Standard payment terms apply: commissions held 30 days after the order completes, EUR 250 payout minimum, paid on the 12th of each month, in euro (see section 6).

(When we add another program, it gets its own "Program details" block here. Each new program reuses the master terms above and only needs its own details.)
